Excel vs property management software: what works for Kenyan landlords?
A spreadsheet is a fine place to start. It stops being fine at a predictable point. This guide shows where, so you can decide when to move on, and when not to.
Where a spreadsheet is enough
- One to five houses.
- Tenants pay on time, in full, to one number.
- You are happy to type everything and check it yourself.
Where it starts to hurt
| Job | Excel | Property management software |
|---|---|---|
| Bill rent each month | Copy a column by hand | Done automatically on the 1st |
| Record M-Pesa payments | Type from messages | A few taps, code saved |
| Receipts | Make each one separately | Numbered receipt for every payment |
| Reminders | Write and send each SMS yourself | One tap to everyone who owes |
| Water and electricity | Calculator plus a sheet per month | Readings in, bills out |
| Tenant sees own balance | No | Tenant portal |
| MRI tax figure | Add up by hand | Shown in the monthly report |
| Mistakes | Easy to overwrite the wrong cell | Payments are reversed, never silently edited |
| Works from your phone | Awkward | Built for it |
A simple test
If you spend more than two hours a month on rent admin, or you have ever been unsure who had paid, software will pay for itself in time and fewer arguments. If rent is a ten-minute job, keep your sheet.
How to switch without risk
- Start with one building and keep the spreadsheet beside it for a month.
- Enter each tenant’s current balance, then record new payments in the software only.
- Compare the month-end total with your sheet. When they match, move the rest.
Frequently asked questions
Is Excel enough for a few houses?
For one to five houses with tenants who pay on time, yes. A simple sheet with a row per tenant and a column per month works.
What makes Excel hard as you grow?
Rent has to be re-billed every month by hand, receipts are separate, M-Pesa messages are copied in by hand, there is no automatic reminder, and one wrong formula can hide a tenant’s arrears.
Can I move my spreadsheet into software?
Yes. Most landlords start by adding buildings, houses and tenants with the balance owed today, and record payments from then on.
Not sure you are ready? Kodi is free for 3 months with everything switched on. You can bring one building across and keep your spreadsheet as a backup until you trust it. See what Kodi does.
